Why Excel PDFs often look wrong

Spreadsheets are not designed around pages. When a wide sheet is printed, the columns that do not fit are moved to extra pages, so one table becomes many confusing fragments. Wrapped text can overlap the next row, long text can spill onto blank pages, and totals may be empty if formulas were never calculated.

Convert Excel to PDF in three steps

  1. Open Excel to PDF on FreeTools Hub.
  2. Choose your XLS, XLSX, ODS or CSV file and keep “Fit columns to page width” selected.
  3. Press Convert to PDF and download the result.

What the converter fixes automatically

  • Scales each sheet to the page width and switches wide sheets to landscape.
  • Keeps your paper size (A4 or Letter) and any print area set in Excel.
  • Recalculates row heights so wrapped text never overlaps the next row.
  • Wraps long text in the last column instead of creating extra pages.
  • Recalculates formulas so totals always appear.

Choosing a page mode

  • Fit columns to page width: best for most sheets; long tables continue on following pages.
  • Each sheet on one page: good for dashboards and summaries, but large sheets become small.
  • Keep original print settings: uses the page setup you created in Excel.

Example: a wide budget sheet

A budget with 24 monthly columns usually prints as four or five portrait pages, each showing only a few months. With “Fit columns to page width”, the converter switches the sheet to landscape and scales it so all 24 months appear side by side on each page, while long tables continue onto the next page with readable text.

Sharing the PDF

Spreadsheet PDFs are usually small, but sheets with many images or charts can be large. If you need to email the file or upload it to a portal, run it through Compress PDF. To send several reports as one document, combine them with Merge PDF in the order you want.

Tips for even better results

  • Hide columns you do not want in the PDF before converting.
  • Set a print area in Excel (Page Layout → Print Area) to export only part of a sheet.
  • Turn on Wrap Text for columns with long descriptions.
  • Combine several exported PDFs with Merge PDF.

Frequently asked questions

Are all sheets converted?

Yes, every visible sheet. Hidden sheets are skipped, just like when printing.

Can I convert a CSV file?

Yes. Comma, semicolon, tab and pipe delimiters are detected automatically.

Why is some text cut off in a cell?

When text is wider than its column and the next cell is filled, it is clipped, exactly as Excel prints it. Widen the column or enable Wrap Text.
